FAQ

Questions teams ask before they start.

Deployment, access, AI and every module, in one place. If your question is not here, our team will answer it.

General

Can ENTEK run on premises?

Yes. ENTEK runs in the cloud, in your own data center, or as a hybrid where OT data from your sites stays on site and the rest of the platform runs centrally.

How does ENTEK connect to our ERP and existing systems?

Through the REST API and MCP. Orders, invoices, statements and device data flow into your ERP and finance systems, and your own tools can create requests in ENTEK the same way.

Who controls what the AI can do?

You do. The AI works under each user's permissions. It drafts requests, compares bids, products and suppliers, and recommends. People approve every award and payment.

How is access governed across sites and teams?

With roles per module, staff limited to their own branches, internal approvers on every request, and two-factor login for everyone who signs in.

How do our existing suppliers join?

You invite them from ENTEK Corporate. They receive and answer your requests in their own Supplier portal, which is free to start.

Which languages does ENTEK support?

Arabic and English throughout the platform, with a full right-to-left layout. Alerts go out in either language.

How do we start?

Start with one module and one site, then expand. The first session maps your use cases to ENTEK modules so the rollout order is clear from day one.

Can a supplier see our RFQ before it is approved?

Today, yes. Suppliers receive the RFQ as soon as it is submitted, and Submit RFQ for Approval tracks the internal sign-off on your side. Keep confidential details out of the RFQ until it is ready to go out.

How do we decide which suppliers receive the RFQ?

Choose one of three modes on the form: Verified Auto Selection (all suppliers with products in the matching categories), Manual Selection, or World-wide. World-wide leads are not vetted by ENTEK.

Can our current suppliers bid?

Yes. Invite them from Manage Suppliers, one by one or by bulk upload. They bid from their own ENTEK Supplier account.

Can we negotiate after the first bid?

Yes. Each bid runs in iterations: you approve, decline or counter, and the supplier revises. Delivery terms can be negotiated in the same stage.

What happens when we award a bid?

The purchase order is created in the same step. Its number appears on the RFQ card, and the supplier gets a You won notification and sees the PO in its Purchase Orders list.

Does the AI choose the winning supplier?

No. AI drafts RFQ text, suggests categories and compares bids. Approval and award are always done by your users.

Why do most products show "Price on request"?

Many suppliers price per order, based on quantity and delivery location. Click Request Quote on the product to start an RFQ prefilled with it, and suppliers will bid.

Are all suppliers verified?

The badge applies to suppliers in the directory and is based on on-file signals such as an active store, CR or VAT number and verified documents. It is not a rating. Suppliers found through the RFQ worldwide search are not vetted.

Can we buy from suppliers we already use?

Yes. Invite them from Manage Suppliers, one by one or in bulk. Once they join ENTEK Supplier and list their products, you can buy from them or send them RFQs.

What if a price changes after I add an item to the cart?

The cart is re-priced on the server and flags changed lines. Price and availability are checked once more right before the order is placed.

Can one checkout include several suppliers?

Yes. Checkout groups items by supplier and currency. If the cart has more than one currency, it is placed as separate orders, one per currency.

How does a supplier charge different prices to companies, consumers or regions?

Each product has a base, B2B and B2C price, and the supplier can set prices per delivery zone. Zone price changes go through an approval queue.

Does choosing a time slot reserve that slot?

No. The time slot is a fixed list of two-hour windows and records your preferred time. It does not check delivery capacity. Use the branch working hours and special instructions to set real limits.

What does the delivery proof code do?

It is a 6-digit code created for each order. Your staff give it to the driver only after the goods arrive, and the supplier enters it to close the order as Delivered. It has no expiry and is not a signature.

The code email did not arrive. What should I do?

Open the order in Order Tracker. The code is shown in Order Details, and Resend Proof Code sends the same code again by email.

Why does New Order show no products for my branch?

Products depend on the branch's location. If no supplier delivery zone covers it, or no products are assigned to the branch, the list stays empty.

Does the Proof-of-Delivery PDF include a photo and signature?

The PDF has fields for signed by, documents and photo evidence. ENTEK Supplier does not capture photos or signatures at delivery, so these fields can be empty.

How current is the Live Map?

The map refreshes every 1, 5, 10 or 30 minutes, or when you press Refresh. It does not show when each position was last updated.

Can suppliers ship with Aramex, DHL, FedEx or SMSA?

Not yet. These carriers are shown as Coming soon. Suppliers deliver with their own fleet, their own freight forwarders or warehouse pickup.

Which payment methods can we use?

Cash on delivery, the company wallet (Balance), bank transfer with proof upload, or card through a secure hosted link. The available set depends on whether you order through New Order or the Marketplace cart.

How long does it take to approve a top-up or a bank transfer?

ENTEK finance reviews each one manually, usually within 1-2 business days.

Can we top up the wallet with a card?

No. Top-up is by bank transfer with a receipt upload.

Why is card payment disabled on my order?

Card payment is available for orders in SAR only.

Where do VAT invoices come from?

From our ERP (Odoo). You find them in Account Statements under the Invoices tab and can export them to PDF or Excel.

Does Asset-as-a-Service need upfront capital?

No. You pay a monthly or per-kWh fee. Final pricing and terms come in the signed contract after a site assessment.

When does a supplier get paid?

ENTEK collects from the buyer and holds the amount until its due date. Commission is deducted at month-end settlement, and the payout goes to the bank account in Finance Settings.

Which hardware can we connect?

Cellular trackers, locks and sensors. The Add Device list has more than 1,500 models. An explosion-proof lock certified for hazardous areas (ATEX and IECEx) is available for sites that need it. No local network or gateway is needed on site.

How quickly do we hear about a problem?

Data reaches the platform within seconds. Rules are checked every 30 seconds, and notifications are sent every minute, so a message usually arrives within about a minute.

Can a driver send an old photo as proof?

No. The Driver Portal opens the live camera only, with no option to pick from the gallery. If the camera is blocked, the driver sees a retry message, not a file picker.

Does Fuel Tank detect leaks?

It detects refuels and drops automatically and alerts on Low and Critical levels. A drop with no known cause is reported as an unexplained drop. The platform does not diagnose the cause.

Can we export reports?

Smart Lock reports export as PDF, Excel or CSV. Fleet reports cannot be exported yet.

How is ENTEK IoT priced?

Each solution is a separate subscription, priced per device, tank, vehicle or machine per month. You can pay monthly or yearly at a lower rate, and the platform enforces each plan's device limit.

Is the platform available in Arabic?

Yes. The dashboard works in English and Arabic with full right-to-left layout, and each alert is sent in the recipient's language.

Where do I see what we spent?

Account Statements lists statements and invoices by period and status. The Financial Hub gives a summary of balance, credit and last payment.

Are the order counts complete or just one page?

Complete. The count cards are computed by the platform across your whole history, and Export CSV on the Order Tracker includes every matching order.

Which formats can we export?

CSV from the Order Tracker, Branches and Financial Hub, CSV and PDF from Account Statements, and a printable view of the Financial Hub.

Can we pull these numbers into our own tools?

Yes. The ENTEK API offers get_order_metrics, get_order_charts, get_rfq_metrics, get_recurrence_metrics and get_branch_metrics, scoped to your company and your permissions.

How is the Scope 2 figure calculated?

Grid electricity used, multiplied by 0.499 kg CO2e per kWh from ECRA, 2023. Each site shows whether its figure came from a bill or was entered by hand, and sites with no data are left out.

Why can a colleague see the Hub but not open Statements?

Each screen checks its own permission. Ask your administrator to add View account statements to that role.

What does a supplier see?

Total revenue, active customers, total orders and units sold, a revenue trend, customer segments and recent activity, for 1, 3, 6 or 12 months.

Does AI award bids or approve payments?

No. In the sourcing screens AI drafts and recommends. Approvers sign off the RFQ, and a person accepts the bid on its detail page, which creates the purchase order.

What data can the AI see?

Only what the signed-in user can see, in that user's own company. The assistant and connected tools pass the same permission checks as the app.

How is AI usage charged?

The AI helpers in Corporate sourcing use AI Tokens. Plans include a monthly allowance, and you can buy extra packages that last 90 days. The chat assistant is not counted against AI Tokens.

What happens when we run out of AI credits?

The screen tells you the company is out of AI credits and links to AI Tokens. Your data stays as it is. In Compare Offers the side by side table still shows, and any credits reserved for a failed attempt are returned.

Can we use our own AI assistant, such as Claude?

Yes. Generate an access token in API & Integrations in Corporate, or an MCP token in Supplier, and add it to your assistant. It works under your own permissions, and you can revoke it at any time.

Does the AI work in Arabic?

The screens are available in Arabic and English, and the Compare Offers recommendation follows the language of your screen. The Supplier chat window does not yet display right to left.

Is our data processed outside ENTEK?

Yes, in part. The chat assistant runs through a third-party provider, and the helpers use an external AI model. Access always goes through your own permissions.

How is on-time delivery measured for our orders?

A delivered order is on time when its delivery date is on or before the preferred date on the order. Order Tracker shows the share per month.

Can we set our own targets or SLAs for a branch or a supplier?

Not today. Corporate pages show results without targets. Supplier targets are fixed and the same for every supplier.

Do supplier figures show only our orders?

No. They cover all of the supplier's customers over the last 30 days. Sales values are not shown.

What are the supplier targets?

On-time Delivery 95%, Bid Win Rate 40%, Avg Delivery Time 24 hours, Return Rate 5%, Cancellation Rate 10%, Response Speed 24 hours and Negotiation Success 60%.

How fast do device alerts arrive?

Rules are checked every 30 seconds, and messages go out by email, SMS or WhatsApp about every minute, in English or Arabic.

Is there one page with all our KPIs?

The Dashboard has a KPIs page, but it is hidden by default and not ready for use. Use Order Tracker, Manage Branches and the IoT Alerts page instead.

Which reporting frameworks does ESG support?

You can generate packs for SASB, GRI, TCFD, CDP, IFRS S1, IFRS S2 and a combined ISSB pack. All are built from the same data in ENTEK.

Which industries are covered?

Eight SASB industries: Real Estate, Electric Utilities, Construction Materials, Multiline and Specialty Retailers, Hotels and Lodging, Health Care Delivery, Road Transportation and Water Utilities.

Why does Reports open the Setup page?

Reports need your industry and reporting period. Until you press Complete setup, ENTEK sends you to Setup first.

Are the reports audited or certified?

No. They are report drafts built from the data in ENTEK. Review them with your auditor before you publish.

Do we have to type every number?

No. Scope 2 and headcount are filled from your branches and staff records. For the rest, you can fill one Excel template and upload it.

Does ESG calculate Scope 1 and Scope 3?

ESG does not calculate Scope 1. It must come from your records. The Supply Chain page shows procurement spend from your orders and RFQs as context for Scope 3.

What does the AI brief cost?

About 2,000 AI tokens per brief. It gives a prioritized disclosure plan and an executive summary draft. It needs a completed setup.

What do we need to give you for each branch?

One of three things: monthly consumption in kWh, the monthly bill in SAR, or the electricity account number. Site details such as hours, shifts and main equipment are optional and improve accuracy.

Do you collect our electricity bills automatically?

You can register each branch's account number on the Connect page, and bills appear on Bills and Tariffs as they arrive. Retrieval for accounts added there is still being fixed, so for now enter the bill or kWh in the branch scan.

How is Scope 2 calculated?

Annual grid electricity use, minus the renewable share, multiplied by 0.499 kg CO2e per kWh from ECRA, 2023. The figure is shown with an accuracy of plus or minus 10%, and the method is printed beside it.

What about Scope 1 and Scope 3?

They are not estimated here, because they need their own records. You record them in ESG and Sustainability.

What happens to a branch with no data?

It is listed as not measured and left out of totals and the report. It is never counted as zero.

Does anything cost extra?

Reading bills, the branch file, the report and the methods does not use tokens. The AI review uses 1,200 AI tokens per run, and finishing a branch scan starts one. Tokens are bought in Settings, AI Tokens.

Why can't we see this section?

It has to be switched on for your account, and your role must be allowed to see it. If it is not switched on, the page says so and asks you to contact your account manager or our support team.

Which buyers can see my products?

Corporate buyers on corporate.entek.ai. A product is shown when it is Active and visible, has corporate pricing enabled, sits on an Active store and has a valid category.

Do buyers see my cost or my B2C price?

No. The marketplace passes only the final B2B price to buyers. Your base price, cost, B2C prices and the commission stay on your side.

Why are RFQs locked for me?

RFQs open at a Supplier Score of 60%. Click the score circle next to your logo to see which steps in your profile, stores, products, pricing, logistics or shipping add the most points.

How does an RFQ reach me?

In Verified Auto Selection, every supplier with products in the RFQ's categories is invited. In Manual Selection, the buyer picks from their favorite suppliers. A World-wide RFQ also auto-assigns platform suppliers by category.

What happens when I invite a customer?

The customer is added to your directory. If Send email invitation is ticked, they get an email with a link to sign up at corporate.entek.ai. You can follow the invite in the Invites sub-tab.

Can I run promotions or a loyalty program?

Not today. These pages exist but are hidden from the menu, and nothing on the buyer side reads them yet.

Can I make offers based on a customer's IoT readings, such as tank levels?

No. No IoT data reaches the supplier portal today, so offers cannot be based on sensor readings.

Which file formats can we upload for bulk invites?

Excel (.xlsx, .xls) or CSV, for branches, users and suppliers. Start from the template so the column names match.

What happens if our file goes past the plan limit?

The preview shows a warning with a link to upgrade. The limit is also checked by the server, so rows beyond the limit are not created.

Can we invite suppliers that are not on ENTEK yet?

Yes. Invite them from Compare Suppliers. Once they register with the invited email, the invite moves to Accepted.

Is there a limit on how many customers a supplier can invite?

No. Customer invitations are unlimited on every supplier plan.

What does the supplier Free plan include?

1 store, 10 RFQs and 10 users. Paid plans (Basic, Advanced and Premium) raise these limits, and a Custom Plan can be requested.

Are the Asset-as-a-Service prices final?

No. Catalog prices are indicative. The final price, term and SLA are set in the proposal and contract after a site assessment.

How long until we hear back on an Asset-as-a-Service request?

The stated first step is an initial assessment within 1-2 business days. A site assessment, proposal and contract follow, handled by the ENTEK team.
